The role:
The Service Operations Analyst plays a key role on the Service Operations team.
S/He is supports the end to end operational processes that support projects delivered by the service teams.
The Service Operations Analyst is responsible for ensuring timely execution and completion of activities such as processing of services documents (i.e.
Statements of Work, Project Change Orders, etc.
), supporting invoicing (or project related billing), solution quoting, delivery setup/project creation in the Professional Services Automation Tool, and conducting data quality audits of our projects.
The Service Operations Analyst is a critical component of our service delivery process, setting up our delivery teams for success and driving customer satisfaction.
**Responsibilities**:
The Service Operations Analyst reports to the Senior Service Operations Specialist and will support the following functions
- Services Operations Support
- Process all incoming Statements of Work
- Support the setup and closeout of all projects
- Project set up in PSA tool
- Complete invoicing for upfront payments, milestone billing, and final billings
- Prepare quotations and ordering for all tools/hardware associated with services projects
- Ensure consistent and high quality handoff to Scheduling team by maintaining clear communication and accuracy of detail project information
- 3rd Party Vendor Funding Program Support
- Coordinate and manage all 3rd party vendor funding programs
- Ensure 3rd party funding milestones and requirements are met to redeem funding
- Drive 3rd party funding opportunities within sales
- Continue to learn and build extensive knowledge of 3rd party funding programs
- Actively participate in functional and non-functional training as directed
- Meet work standards by following production, productivity, quality, and customer-service standards; identify work process improvements
- Manages the general quality of the work for the Services team and recommends improvements within area of responsibility
- Close attention to data, in order to pinpoint areas of improvement, while seeking information to maintain or even improve current processes
- Enhance department and organization reputation by performing assigned duties to the best of ability
- Assist with financial reporting
- Enhance and run communication between team members to capture, track, and address evolving project needs
- Handle conflicting requests and needs from multiple teams (sales, clients, leadership, delivery teams, project managers)
- Accurately collect and track data and create reports to meet the drive towards continuous improvement
- Lead or support Service Operations Process Improvement Initiatives
- Support the development and operations of the Renewal Desk.
What we need to see from you:
Requirements
- Bachelor degree in project management, business administration, finance, or another relevant degree preferred, not required.
Work Experience:

- 2+ years of relevant work experience with back office support and financial systems
- High attention to detail with excellence in administration; this person should be a superhero with coordination tasks
- Experience with Microsoft Dynamics 365 Professional Services Automation is a plus
- Highly motivated and results oriented
- Attentive to detail and brings order to an array of information
- Solid problem solving, conflict resolution and negotiation skills are required
- Excellent verbal and written communication skills as well as strong business acumen
- Desire to work in a technology consulting environment.
