Manage day to day calendars for 2 MD's as well as the People Business Partner team when needed, including scheduling and coordinating meetings, interviews and other appointments. Ensure that calendars are up-to-date and conflicts are resolved efficiently.
- Arrange travel logistics and itineraries for team members, including flights, hotels, transportation, and visa requirements. Ensure travel arrangements are within company policies and cost considerations.
- Assist with expense report filing, ensuring accuracy, completeness, and adherence to company policies.
- Prepare, format, and distribute various ad hoc and recurring reports and documents as requested ensuring data accuracy.
- Conduct research and gather data to assist the team in making informed decisions and formulating strategies.
- Handle special projects and assignments as assigned by the People Business Partner team. This may include gathering data to assist the team in making informed decisions, preparing presentations, drafting correspondence, organizing team events and requires handling of confidential information with the utmost discretion.
- Liaise with internal and external stakeholders, including employees, managers, vendors, and partners, to facilitate smooth operations and effective communication.
- Continuously evaluate and streamline administrative processes to enhance efficiency and productivity.
High school diploma or equivalent; additional certification or associate degree in office administration or related field is a plus.
- Proven experience as an administrative assistant or in a similar support role.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills, with a keen attention to detail.
- Proficient in using productivity tools, such as Microsoft Office 360 and other online collaboration platforms.
- Familiarity with HR/People Team processes and terminology is advantageous.
- Ability to handle highly confidential information with discretion and professionalism.
- Exceptional interpersonal skills and the ability to work effectively with individuals at all levels of the organization.
- Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
- Strong problem-solving skills and the ability to anticipate needs and take proactive measures.
