The RMA/AWR & Sales Order Administrator is important in facilitating the efficient functioning of Coriolis, Density, Magnetic, Vortex, and USMs Repair Departments. This position is primarily responsible for handling the entire process of Return Material Authorizations (RMAs) and Advance Warranty Replacement (AWR) orders. The incumbent will ensure accurate documentation, timely order generation, and effective communication with internal teams and customers.
**In this Role, Your Responsibilities Will Be**:
RMA & AWR Order Administrator:
- Verify model accuracy and ensure compliance with customer requirements for all RMA & AWR orders.
- Evaluate RMAs based on reports, collaborating with Technical Support staff when required.
- Review commercial terms and conditions to ensure adherence to agreements and company guidelines.
- Enter AWR orders into the Oracle system accurately and within set timelines.
- Communicate order details and status to relevant teams and collaborators.
- Collaborate with cross-functional teams for technical support and customer concerns or issues.
Fast Lane Quotations:
- Generate RMA numbers and quotes for internal and external customers.
- Verify accuracy and completeness of Recal-RMA order information.
Calibration Order Entry:
- Maintain updated customer information in internal systems and databases.
- Enter and book orders in business systems, ensuring compliance with documentation procedures.
- Review customer purchase orders, ensuring completeness and accuracy.
- Initiate proactive communication with customers to resolve issues and collect missing information.
- Coordinate with departments to validate technical requirements of purchase orders.
- Proactively customers through any delays and discuss potential solutions.
Post RMA Steps and Others:
- Review orders for technical conformance and share the best standard processes with team members.
- Submit reports and accomplish special projects as assigned.
- Conduct Trade Compliance Screening if required.
**Who You Are**:
You build the customer relationships. You use planning tools and software. You solicit both input and discussion. You focus and monitor both formal and informal progress regularly.
**For This Role, You Will Need**:
- Academic background in Business Administration or related field.
- English Proficiency (Written and Oral) level, minimum must B2 (Upper Intermediate).
- Able to talk to customers and answer phone calls to handle cases or customer requests.
- Experience in customer service or similar technical roles (0-1 year).
- Attention to details and decision-making.

Work Structure: 3 Days Remote, 2 Days On-site Work Structure. Work hours may adjust according to US time zones.
