Job Function Summary

The Receptionist is responsible for greeting visitors and delivering assistance at Coloplast CAR site. This entails answering calls, visitor questions and needs, addressing them, accordingly, providing an overall welcoming environment. Also performing administrative duties as needed.

Major Areas of Accountability

Welcoming guests and contactors and ensure proper registration and identification of them.
Maintaining and handling of security and telecommunications system, including meeting rooms reservations and audio/video equipment.
Editing the reception main screen communications.
Managing notice boards.
Coordinate travel itineraries, booking rooms, car rentals and other activities related.
Handling and ordering office supplies.
Management of cleaning contractor, including cleaning records checking and filing.
Management of the security contractor, first point of contact between security and Coloplast.
Coordinate transportation service (bus service) for employees.
Provide support to general management and coordinate activities with general manager assistant.
Supporting on company official events.
Distribute and organize general communications to Coloplast CAR.
Support FEHS department on training, auditing, and communicating to the organization
Performing their job in compliance with the guidelines given
Drawing attention to the manager to any difficulties in understanding or following the guidelines
Drawing attention to inefficiency of the system
Take responsibility for those safety aspects identified for the given position.

**Essential Qualifications**:
Technical degree on executive secretary, business administration or related qualification.
Experience of 1 year in related position and customer service areas
Medical industry experience is a plus.
English level B2.

**Required Knowledge, Skills and Abilities**:
Ability to manage varied and complex workload.
Familiarity with quality standards and regulated industry.
Excellent organizational and time-management skills.
Multitasking and creative
Excellent communication (write / oral) and negotiation skills
Ability to adapt to changing enviroments.
MS-Office.
