Reporting to the Assistant Program Manager, the Program Coordinator works closely with internal vendors and key stakeholders to facilitate and support Amazon events taking place in key buildings within Amazon corporate offices.
The Program Coordinator responds to customer requests and inquiries to ensure on-site events are executed smoothly and professionally.
Responsible for the coordination of resources to ensure spaces are cleaned, set and ready for events.
Committed to event related projects such as documenting trends, recognizing opportunities for process efficiencies, and improving policies and procedures related to internal events and spaces.
Schedules, maintains and updates calendar appointments to improve time management and coordination/communication with vendor partners supporting the eventspaces
Reviews, updates, schedules and approves event requests received from Amazon eventplanners
Provides initial response and support related Amazon eventinquiries
Assigns events to regional Program Coordinators asappropriate
Daily coordination and organization ofevents
Creates and updates documents to track metrics, clarify procedures, provide information, organize team tasks, and others as needsarise
Provides remote event support
Processes work orders and event related troubletickets
Supports and maintains good inter-vendor communications between Facilities, Catering, AV, Reception, Janitorial and Engineering asrequested
General office duties and support of events team as assigned bysupervisors
**Essential Knowledge and Skills**:
Ability and attentiveness tomulti-task
Interact with employees, visitors and contractors with poise anddiplomacy
Interpret instructions in written, oral, diagrammatic or scheduleform
Possess initiative to assume additionalresponsibilities
Set priorities and meetdeadlines
Advanced competence with a variety of software including MS Word, MS Excel, MS Outlook, and other requested softwareprograms
Perform basic business math such as compute discount, interest, percentage andprofit/loss
Communicate effectively both verbally and written
Possess excellent grammar and proofreadingabilities
Experience
2+ years' experience event coordination or event administrativesupport
2+ years' experience facilities management is aplus
Must be proficient with MicrosoftOffice
High level of accuracy and attention todetails
Positive, professional, customer-service orientedpersonality
Excellent interpersonal and communicationskills
Ability to work independently, at times, with littledirection
Bachelor's Degree or equivalent 4 years of experiencepreferred
