Who We're Looking For
This position is responsible for all aspects of US and Latin America territory payroll functions. This includes the processing of payroll using Workday, maintaining policies and procedures, time and attendance records, overtime and exception time reporting, multi-state tax maintenance, stock option recording, and the posting of payroll transactions in the general ledger. This position also supports the financial and tax accounting aspects of all payroll processes. In addition, this position prepares and coordinates internal and external audits regarding domestic payroll related matters and has an excellent working knowledge of Workday Payroll and multi

- Scope of the Role:
- Direct Reports: This is an individual contributor role with no direct reportsKey Responsibilities
- Receive, verify, transmit and load all biweekly payroll data for US and US territories. This includes, but is not limited to overtime, retroactive pay, shift differentials, commissions, bonuses, awards, COLA, stock data, and taxable fringe benefits.
- Receive, verify, transmit and load all semi-monthly and monthly payroll data for Latin America territories. This includes working with a third party vendors to initiate the payroll cycle from Workday to third party payroll provider.
- Managing relationships with third party vendors to initiate net pays and tax remittances on a biweekly, semi-monthly, and monthly basis for US and Latin America territories.
- Maintain internal time reporting process for all exempt and non-exempt employees for US, Central, and Latin America territories
- 401(k) administration and annual audit responsibility for US
- Multi state tax maintenance - must have the ability to handle all 50 states, including localities, maintained on a biweekly, quarterly, and annual basis Working with a third-party vendor to ensure remittance and reconciliation on a regular basis.
- Independently maintain all garnishments in compliance with court orders as well as documentation and setup within Workday and remittance with third party vendor
- Maintain all severance and salary continuation schedules for compliance.
- Complete all necessary unemployment and payroll related census data.
- Create and maintain SOP manual for payroll processes for US and Latin America territories
- Process manual check payments, ACH reversals and voids.
- Working with internal and external parties for Quarterly and Annual tax reconciliation, including year-end initiatives and in country audits for US, Central, and Latin America territories.
- Design, distribute and communicate annual payroll calendars for the US and Latin America territories..
- Primary contact for US Latin America employees regarding payroll related matters.
- Responsible for all US and Latin America payroll journal entries and month end accounting initiatives. Working closely with the accounting team for all reconciliations of ledger accounts.
- Create and maintain accurate periodic payroll audit reports for compliance and reporting.
- Coordinate configuration changes to the time and attendance platform to create efficiency.
- Prepare schedules and provide support for external auditors during quarterly reviews and the annual audit.
Experience, Education, and Certifications:
- 5-8 years of experience with Payroll systems required.
- Experience with Workday preferred.
- Bachelor's degree in Accounting, Business Administration or Human Resources preferred
- CPP certification preferred.
- Experience with processing multi-state payroll taxes in US.
- Experience with full cycle payroll in Costa Rica including knowledge of tax remittance, CCSS reporting and reconciliation.
Additional Requirements:
- Strong knowledge of accounting concepts
- Highly productive with mínimal guidance or supervision
- Must have advanced PC skills (Excel, Word, Outlook), plus strong analytical, oral, and written communication skills.
- Able to effectively work on a variety of simultaneous assignments within a team environment.
- Demonstrates competence in performing under pressure with attention to detail while maintaining a high level of confidentiality.
- Ability to manage internal and external relationships with strong communication skill.
