BTSS Archiving Operations provides best practices for paper based archived records for all Citi locations stored at a third-party supplier and provides training as well as guidance outlined in the Archiving Operations Guide (AOG) to enable all Citi personnel to comply with the Records Management Policy and Standard.
This role will report to the Global Archiving Lead and involve standardizing, rationalizing, improving re-engineering global processes and services.
This role will also execute process improvement projects, automation projects to simplify our operations activities and day to day analytics activities and projects.
This role will require an individual with a strong client centric, operational, analytical, re-engineering/process improvement focus, as well as strong program/project management to support and execute various small and large initiatives globally.
**Key Responsibilities**
Strategy and Execution
- Develop, Plan and Drive to successful completion re-engineering/process improvement /technology global programs and projects with a focus on gaining operational and financial efficiencies
- Provide thought leadership and end to end project management and execution to drive standardization, optimization, and efficiencies
- Managing BOW, priorities and provide project status reporting including issues/risks mitigation plans
- Provide comprehensive support to the Global Archiving Operations Team across day-to-day agenda including global communication, training initiatives, UAT (User Acceptance Test) planning and testing and other operational activities
- Identify areas of interdependencies within the Global Archiving Operations organization and bringing teams together to drive integration of objectives and underlying work
- Build and develop trusted relationships with (1) Regional Archiving Leaders (2) Stakeholders (3) Suppliers (4) ESC/RMO
- For any areas where there is a risk of not delivering, or delivering late against, a commitment, quickly escalate to the appropriate Archiving Operations leader with potential resolution strategies
- Facilitate the sharing of best practices and insights across teams
- Develop presentations & materials for senior management as required - synthesizing /summarizing information and financials globally to provide critical information.
- Verify third party's compliance to required policies and controls
- Perform data analysis of various reports to identify trends in business groups to assist the Regional Archiving Leads in recommending solutions to meet business needs and the strategic direction of the Archiving Program
- Attend and manage stakeholder's queries/meetings and working group sessions to design global processes, simplify existing processes, create project plans, and execute accordingly.
- Own and manage end to end our global Archiving Operations Guide ensuring alignment with current Records Management criteria and standards.
- Support the Global & Regional Archiving Leads in executing Manager's Control Assessment (MCA) testing and remediation plan(s) to address potential audit gaps/findings.
- Be the single point of contact for the Archiving team audit deliverables
- Support the Global Archiving Lead with presentations for senior management, day to day analysis and ad-hoc administrative requests
- Provide backup support to our Financial Analyst when necessary
**Qualifications**
- Minimum 8 years of relevant experience
- Bachelor's Degree required or equivalent work experience
- MBA or equivalent qualification preferred but not mandatory
- Project Management Professional (PMP) & Management Information System/Technology experience preferred
- Ability to prioritize as needed while handling multiple time-sensitive projects in a very fast-paced environment
- Strong organizational skills, work ethic, initiative, sense of urgency, attention to detail and confidentiality.
- Excellent conflict management and resolution skills that results in win: win scenarios and positive relationship building
- Excellent and effective communication skills in English, both oral and written, with the ability to articulate complex and sensitive issues to management.
- Robust technical and analytical skills, including significant expert experience using Excel (macros, advance pivot tables, VLOOKUP), Microsoft 365, Teams, SharePoint, One Drive and PowerPoint
