ROLE SUMMARY

The GBS San Jose Operations lead will liaise with The Village Site Lead and the Site Senior Leadership team to provide comprehensive support to the planning and the execution of a full range of Site activities, including but not limited to: Make It Possible initiatives, Site meetings & events, etc. while able to manage all related administrative duties.

ROLE RESPONSIBILITIES
- Provide day-to-day operational and administrative support to the Site Lead and Senior LT.
- Coordinate Site Leadership meetings and Site calendar (agendas, schedule appointments, take/issue meeting minutes as required).
- Lead the coordination of logistics to Site and Make It Possible events (Town Halls, trainings, workshops, etc.)
- Lead the Site operational readiness monthly meeting with Digital, GWSS, EHS, Security - ensure action items are executed.
- Coordinate with the Senior LT all logistics for Site visits (transportation, registration, accesses and other arrangements needed liaising with Global Security, GWSS, EHS & other teams).
- Represent GBS San Jose in the Global Comms Collective Forum to align and ensure action items are properly coordinated and executed at Site level.
- Develop and coordinate with PX and Corporate Affairs the internal and external communication strategy and plan for the Site.
- Create and maintain distribution lists, organizational charts, contact lists and Site presentation.
- Ensure the operational activities to be aligned with Pfizer legal, compliance and regulatory policies, procedures, and requirements.
- Participate in multidisciplinary cross-functional strategic projects and ensure communication and full implementation of initiative recommendations.
- Use a variety of communication tools and techniques to present complex ideas.
- Being the primary point of contact for any operations and administrative action at Site level.

REQUIRED QUALIFICATIONS
- Bachelor's Degree required in Business Administration, Human Resources or Communications.
- 5+ years of working experience that demonstrate the ability to carry out technical and administrative functions described in job responsibilities.
- Speak fluently in Spanish and English
- Must be independent, proactive, and self-motivated demonstrating strong organizational, interpersonal, and communication skills (both written & verbal) with colleagues at all levels in the organization.
- Have an appreciation of the need for accuracy and precision; attention to detail is required, along with solid numerical skills.
- Have a strong work ethic and high integrity, excellent judgment and the ability to work with information of a confidential and sensitive nature.
- Be comfortable working in a fast-paced environment, with the ability to multi-task and adapt quickly to changing priorities.

Preferred Qualifications
- Proficiency in Ariba, Concur/PT&E, Microsoft Outlook, Word, Excel, and PowerPoint required.
- Good organizational skills to coordinate and manage multiple priorities.
- Proficient written and verbal skills to enable effective communication with all levels of management.
- Solid technology and communication capabilities
- Pro-active, creative & entrepreneurial attitude with evidence of ability to execute key projects.
- Experience in a multinational company managing a variety of events, projects other corporate initiatives.
- Experience in contracts management, quotes, order requisitions, etc.
