- What you will be doing
- Under general direction of Workplace Solutions Leadership, this role is responsible for creating and maintaining effective, efficient, and professional workplace environments for the organization.
Leads the coordination of business operations, initiatives and, responsible for managing the day-to-day facility operations and maintenance requirements and internal housekeeping activities to maintain a clean, orderly and safe working environment. Operates as the primary liaison with the property management company and with all outside service contractors.- Ensure accurate maintenance of the office building (cleaning, repairs, equipment), monitoring and up-date of contracts for utilities (water, electricity, gas, etc.) and ensure efficient consumption.- Works closely with property management company to report maintenance problems, schedule work requests and report housekeeping inconsistencies and challenges.- Oversees all facets of the daily operations of the organizational unit, ensuring compliance with the country and industry laws, policies, and regulations.- Control and administer services activities like parking space allocation, waste disposal, recycling, transportation, building security and access, etc.- Act as a primary contact for vendors, addressing immediate issues and collaborating on necessary changes. Liaison with outside contractors and vendors; reviews and process invoices for services rendered. (Mailing services, pantry areas, office supplies, etc..)- Manage Workplace Health & Safety procedures, coordinate implementation of facilities management services and processes to ensure most suitable working environment is attained for employees.- Ensures proper care in the use and maintenance of equipment and supplies; promotes continuous improvement of workplace safety and environmental practices.- Supports and promotes the maintenance of a safe, accident free and healthy work environment.- Site Services support by coordinating and owning tasks related to physical assets (including management of free trade zone government guidelines), procurement & sourcing of local services (including vendor management, invoicing, purchase order, contracts performance) and other services required for the site operation.- Support local department's operations and daily requests. Works with internal departments to plan and facilitate office procedures, assists with organization such as storage needs and file cabinets. Initiates ready workspace procedures and guides onboarding of new team members.- Manages and partners with IT to maintain site technology and software usage for space planning, visitor system programs and conference room A/V and scheduling.- Maintains working relationships between Workplace Solutions and other company functions and resources, such as IT, Sourcing, Security, Legal, Finance, Marketing to ensure effective partnerships.- Develops and maintains emergency/disaster preparedness and recovery plans.- Works with Workplace leaders to generate and oversee site expenses and budgets.- Exemplifies purposeful work, prioritizes customer service and champions company culture. Plan and coordinate ad hoc events to enhance team cohesion and company culture.- Coordination of external and internal visitors to the site, ensuring a seamless and professional experience.- Performs other duties as assigned.
What your background should look like
- Requires broad training in fields such as business administration, facilities management, accountancy, marketing obtained through completion of a four year bachelor's degree program. Normally requires a minimum of five (5) years related and progressively responsible experience.- Ability to communicate effectively both orally and in writing- Strong understanding of facility management and security concepts and principles- Good project management skills- Ability to engage, train, motivate and direct the work of others- Excellent problem-solving skills; ability to resolve issues effectively and efficiently- Strong interpersonal skills- Strong customer service orientation- Strong leadership skills- Adept at handling sensitive and confidential situations- Strong organizational skills; attention to detail- Knowledge of Microsoft Word, Excel and Outlook- EHS Management Systems
