The Mail Room/Workplace Coordinator ensures efficient and organized mail operations and supports various facility-related tasks. This position involves overseeing the day-to-day operations of the mail room, managing incoming and outgoing mail, coordinating facility maintenance activities, and providing excellent customer service to internal employees and external stakeholders. The Mail Room/Facilities Coordinator maintains a safe and functional workspace environment while effectively managing mail distribution and other related administrative tasks.

**Key Responsibilities**:
**Mail Management**:
Receive, sort, and distribute incoming mail and packages to the appropriate recipients or departments.
Prepare outgoing mail and packages for shipment, including arranging couriers and coordinating mail delivery services.
Maintain accurate records of incoming and outgoing mail, tracking packages and ensuring timely delivery.

**Facility Coordination**:
Collaborate with vendors and service providers to schedule and oversee facility maintenance, repairs, and installations.
Conduct regular inspections to identify and report facility-related issues, such as lighting, HVAC, plumbing, or security concerns.
Coordinate office moves, furniture arrangements, and equipment installations as required.
Maintain inventory and ordering office supplies, ensuring availability for staff members.

**Customer Service**:
Provide exceptional customer service to internal employees and external stakeholders, promptly addressing inquiries and resolving mail-related issues.
Assist employees with shipping and mailing needs, offering guidance on best practices and cost-effective solutions.
Handle sensitive and confidential materials with utmost discretion and maintain confidentiality protocols.

**Administrative Support**:
Assist with various administrative tasks, including data entry, record keeping, and maintaining electronic and physical filing systems.
Coordinate meeting room reservations and setup, ensuring rooms are clean and equipped with necessary supplies.
Support other departments with general administrative duties as needed.

**Health and Safety**:
Promote and maintain a safe work environment by following health and safety guidelines and reporting hazards or incidents.
Collaborate with relevant stakeholders to implement emergency response procedures and ensure staff members know protocols.

**Qualifications and Skills**:
High school diploma or equivalent; additional relevant certifications or training is a plus.
Prior experience in mail room operations, facilities coordination, or administrative support is preferred.
Excellent organizational and time management skills with the ability to multitask and prioritize effectively.
Strong attention to detail and accuracy in handling mail and facility-related tasks.
Strong interpersonal and communication skills to provide exceptional customer service and work effectively with diverse individuals.
Ability to work independently as well as collaborate with cross-functional teams.
Demonstrated problem-solving abilities and adaptability in a fast-paced environment.
Knowledge of health and safety regulations related to facilities management is beneficial.
