Project Coordinator (PC) is responsible for all financial transactions for a wide variety of project types and must be organized, flexible and adept at multi-tasking. They are generally required to perform a wide variety of tasks daily, sometimes even simultaneously. They directly execute the financial aspects of assigned real estate projects throughout the project's lifecycle from initiation to close out. The Project Coordinator is also responsible for various activities including but not limited to, process improvement, financial documents, communications (verbal & written) and template management.

JOB OVERVIEW
Reporting to the Senior Program Delivery Manager, the Program Coordinator works closely with 3rd party vendors, internal vendors, and key client stakeholders to support excellent program delivery in a fast paced and demanding corporate environment.
EXPERIENCE SKILLS
Microsoft Office Suite
Excel experience in data collection, and graph creation
Work Order Management Systems
Video Conferencing Systems (Zoom, Teams, Google Meet, etc.)
Smartsheet including creation of dashboards
Slack and other instant messaging software
Strong ability to multi-task
Ability to Interpret instructions in written, oral, diagrammatic or schedule form(s)
Possess excellent grammar and proofreading abilities
Comply with all JLL policies and procedures, including but not limited to ethics, and business practices
ROLES AND RESPONSIBILITIES
Support programs by keeping records, white papers, and other program initiative files organized and readily available
Attend meetings, take notes, and send meeting minutes
Track and set priorities and follow up on action items to ensure timely submission and organization of action items in order to meet deadlines
Manages 3rd party vendor performance to ensure they are meeting contract goals, KPI's and SLAs
Manage monthly work orders, including meeting SLA timeframes for invoice submission, and approvals
Creates and updates monthly presentations highlighting key program notes, and shows SLA performance graphs/charts that are submitted to key stakeholders
Prepare monthly projects updates
Review budget documents prior to submission for accuracy and completeness
Perform basic business math such as compute discount, interest, percentage and profit/loss
Effectively communicates both written and verbally
REQUIREMENTS | QUALIFICATIONS
Must be able to fluently read, write, and speak in English
2+ years' experience in project/program coordinator or executive assistant type of role
2+ years' experience in facilities management is a plus
High level of accuracy and attention to details and question things when appropriate
Excellent interpersonal and communication skills with a customer-service oriented personality across many levels of leadership and audiences
Ability to work independently, and at times in ambiguous circumstances
High ability to be resourceful, proactive, and create well rounded recommendations
Excellent organizational and follow through competences
