Logistics Coordinator

Macfadden, part of PAE, provides support to USAID's Bureau for Humanitarian Assistance (BHA).
BHA leads and coordinates the U.S. Government's humanitarian assistance efforts overseas in response to natural disasters and protracted crises.
The bureau also supports early recovery efforts that restore and protect basic systems and services and invests in risk reduction programs that prevent or reduce risks associated with chronic and recurrent hazards.

JOB DUTIES AND RESPONSIBILITIES:

- Support transportation, travel, movement coordination, and related logistics, including the International and In-Country Travel plans and reporting to BHA/LAC.
- Maintain a Travel Tracker to monitor the whereabouts of all program staff, as needed
- Support the program staff in ensuring all travel arrangements, documents, and document processes are compliant for the client and corporate.
- Maintain physical and virtual document filing systems
- Ensure the maintenance of hard and electronic files and assist in maintaining tracking systems for travel related documents such as: travel authorizations, vouchers, scanned passports, photos, medical evacuation policy information, etc.
- Remain up to date on the latest COVID and additional travel protocols in Latin America and the Caribbean.
- Follow all emergency response procedures for deployment and evacuation
- Assist in the development of the yearly International and In-Country Travel Plans
- Provide reporting support, prepare correspondence and documents for BHA/LAC or corporate.
REQUIRED SKILLS AND QUALIFICATIONS:

- Must be highly organized, pay close attention to detail, have excellent proofreading skills, and be able to handle multi-tasking well.
- Proficiency in Spanish and English Level 4 minimum required, Level 5 preferred.
- Bachelor's degree preferred, with 1-4 years of office experience
- Position requires the ability to work in high pressure situations occasionally exceeding normal business hours.
- Must have strong verbal and written communication skills as well as the ability to work independently or in a team environment.
- Proficient in Excel and other MS Office programs

DESIRED QUALIFICATIONS:

- Proficiency in Spanish and English Level 4 minimum required, Level 5 preferred.
