The Facility Coordinator is responsible for assuring high standards of customer service, unwavering optimism, and integrity at all times, including timely response to and resolution of any client's requests or concerns. Provide a high level of administrative and operational support to management on matters such as facility management and services. Ensure the professional appearance of the office including clean and tidy workspaces and well-maintained areas. Coordinate contract execution and liaise with external suppliers in order to provide the best experience for the employees.
**What you'll do**
- Provide administrative support to the Real Estate Department and clients for local facilities operations.Oversee necessary requirements and resources for meetings/events/presentations; coordinate efforts with other departments (room setup, catering orders, and vendors).
- Maintain and update administrative policies and processes, working together with HR partners in the onboarding process, training for managers, and supporting wellness programs.
- Serve as the liaison between employees, facilities management staff, and other related vendors to ensure the appropriate operation of the facility. Administration of the transportation, cafeteria, receptionist, and facilities management services.
- Coordination of facilities vendors, contractor relationships, and contracts. Coordinates the fulfillment of Service Level Agreements with vendors and reports results. Ensure contract compliance. Handle facilities-related services/ processes, such as inspections, contract/vendor management, financials/site procurement requisitions, legal, relationship with the landlord, and reporting. Assists with customs paperwork for importation/exportation in the system.
- Initiate purchase orders as requested by the client or other involved parties. Codes and processes invoice accurately and in a timely manner. Receives and delivers materials;
- Administration of Angus, work order management platform for Tenant Requests, Certificate of insurances, and Preventive Maintenance-related with the vendors/suppliers under coordination. Review and track work orders and other service requests in Angus.
**What experience you need**
- B2 English level.
- 3+ years of real estate property, facility management or related experience, or any similar combination of education and experience.

- Bachelor's Degree in business administration or Industrial Engineering.
- Environmental, Health and Safety Technician or higher degree.
- Initiative and personal ownership combined with an attitude of continuous improvement.
- Experience in environmental certifications.
