The Executive Assistant, assists the Head of Investor Relations in coordinating the work of the Investor Relations Team.
This position will be responsible for coordinating many aspects of the planning and delivery of the Investor Relations team's goals.
They will routinely interact with members of Moody's executive and senior management team.
The individual will be exposed to Finance related concepts and strategies as well as general management activities.
Direct reporting line to the Head of Investor Relations.
- Assist in coordinating the internal and external facing work of the Investor Relations Team
- Track Investor Relations projects and report progress against key milestones
- Support the analysis of metrics against benchmarks, reporting, and action plans
- Collects and prepares information/presentation materials for high-level meetings or for use in discussions/meetings with senior leadership team member, staff and outside individuals
- Makes high-level contacts of a sensitive nature inside and outside the company (e.g.
liaises with other departments to ensure needs are understood and met)
- Assist with organizing team onsite meetings and follow up action items
- Manage ad hoc projects
- Provide suggestions for improving processes and overall efficiency in the organization
- Coordination with Senior Management -travel for roadshows, conferences and office visits
- Calendar control and coordination after staff meetings
- Handles details that are time sensitive and highly confidential and critical in nature - exercises confidentiality, tact and diplomacy to resolve conflicts
- Possesses in-depth knowledge of company operations, policies, and procedures
- Investor meeting scheduling with IR
- Manage the IR mailbox tracking general inquiries, all investor materials requests, analyst reports, MCO reports and organize the long-term archive folders.
- Facilitate support for the Associate Financial Analyst with data entry and management in Ipreo such as, obtaining investor profile reports, creating contact lists, recording meeting and event activities, adding / removing and reporting new contacts or institutions, updating meeting notes and processing fund descriptions for investor calls.
- Manage Slack channel requests through UCC Operations team and Legal / Compliance / IT Steering Committee to ensure proper access of Moody's personnel from across MSS, MA, and MIS providing support via Slack for the earnings call and conferences or NDR's with MIS participants.
- Facilitate and archive Slack channels for events and investor calls that include ELT members or Senior Management.
- Manage invoice submissions with vendors and track invoice status in the AP dashboard.
- Process Procurement & Sourcing requests for projects, team licensing and subscriptions.
- Facilitate management of new IR SharePoint site.
- Facilitate organization and updating of files to the IR Shared drive.
- Coordinate new hire onboarding technology set up, schedule introductory meet and greets, trainings and system access; process internal transfers and facilitate off-boarding process.
- Process monthly Travel & Entertainment expenses for the IR team.

- Bachelors Degree;
- 5-7 years work experience including experience in Project management
- Excellent working knowledge of Microsoft Office software including Word, Powerpoint and Excel
