**The Telephony and IT Inventory Coordinator plays a crucial role in ensuring optimal performance and efficient management of both our telephony and IT infrastructure. You will be responsible for maintaining accurate and detailed records of all telephones, IT equipment, and associated accessories, while facilitating smooth deployment, decommissioning, and lifecycle management across both systems. Your meticulous approach, strong organizational skills, and collaborative spirit will be key to supporting a seamless workflow and maximizing the value of our technology investments.**

**Responsibilities**:
**Telephony Inventory Management**:

- Maintain a comprehensive and up-to-date inventory of all cellular phones, lines, features, and accessories.
- Maintain a comprehensive and up-to-date inventory of cellular contracts, expiration, renovation, cancellation etc.
- Track phone assignments, user changes, and service upgrades/downgrades.
- Conduct periodic physical audits to verify inventory accuracy and identify discrepancies.
- Manage phone repair and replacement processes, ensuring timely resolution of issues.
- Collaborate with telecommunications providers for installation, maintenance, and service changes.
- Coordinate warranty review processes with the supplier
- Manage and coordinate service contracts of different suppliers.

**IT Inventory Management**:

- Maintain a comprehensive and up-to-date inventory of all IT equipment, including hardware, software, peripherals, network devices, leasing contracts, expiration, renovation etc.
- Record and update asset details such as purchase date, warranty information, location, and assigned user.
- Implement and maintain effective asset tagging and labeling systems for easy identification and tracking.
- Coordinate the deployment of new IT assets, ensuring proper installation, configuration, and integration into existing systems.
- Track asset lifecycles and schedule hardware refresh cycles to optimize utilization and prevent downtime.
- Manage the decommissioning and disposal of retired assets in accordance with company policies and environmental regulations.
- Ensure adherence to company IT asset policies and regulatory requirements.
- Conduct periodic physical audits to verify inventory accuracy and identify discrepancies.
- Coordinate warranty review processes with the supplier
- Manage and coordinate service contracts of different suppliers.

**Reporting and Compliance**:

- Generate regular reports on telephony and IT asset usage, costs, and compliance metrics.
- Prepare and submit required reports to telecommunications providers and regulatory bodies.
- Address discrepancies and non-compliance issues promptly and effectively.

**Communication and Collaboration**:

- Maintain clear communication with both IT and telephony departments regarding inventory changes and updates.
- Collaborate with other teams to optimize asset utilization and identify cost-saving opportunities.
- Contribute to the development and implementation of new inventory management processes and procedures.
- Provide basic user support for telephony and IT equipment issues.

**Requirements**:

- Minimum of 1 year of experience in inventory management, preferably within a telephony and IT environment.
- Strong understanding of Excel, Oracle SAP One and inventory management tools.
- Solid knowledge of IT hardware, software, and network devices.
- Excellent organizational and time management skills.
- Proven ability to maintain accurate and detailed records.
- Effective communication and interpersonal skills.
- Proficiency in data entry and spreadsheet software.
- Ability to work independently and as part of a team.

**Education**

**Formal Education**:

- Associate degree in business administration, Information Technology, or a related field preferred.
- Certification in telephony systems or IT service management (ITSM) is a plus.
- Strong analytical and problem-solving skills.
- Attention to detail and accuracy is essential.
- Excellent written and verbal communication skills.
- Ability to prioritize and manage multiple tasks simultaneously.

**Skills and competences**:

- ITIL Foundation or other relevant IT service management (ITSM) certifications are a plus.
